Wise Owl Legal and The Future of Practice Management

Legal Practice Intelligence (LPI) recently caught up with Karen McDonald, Founder and CEO of Wise Owl Legal, an Australian-based legal tech company offering cloud-based practice management software specifically designed for law firms, attorneys, and legal professionals.

Wise Owl positions itself as “the future of legal practice management software” and as an “all-in-one” solution that streamlines operations, improves efficiency and profitability, strengthens compliance, and reduces administrative burnout.

The platform targets small- to mid-sized law firms and addresses common pain points, including lost billable time, outdated file management, repetitive drafting, trust accounting compliance, and remote-work challenges. Wise Owl emphasises being lawyer- and accountant-friendly, fully customisable, scalable, and browser-based.

Legal Market Buoyancy and Diversification

Karen McDonald stated that the market’s buoyancy is highly variable and depends heavily on where firms source their work. She emphasised that successful business owners, particularly small firms, need to network aggressively and diversify their income sources to maintain stability when one sector struggles. This trend is consistent across both the Australian and international legal sectors.

Observations on Law Firm Work Models

The approach to hybrid work varies significantly among law firms, often depending on the managers’ attitudes. Karen McDonald noted that while some firms are strict about requiring in-office work, the work-from-home model varies significantly, with some individuals doing less work at home and others doing more. Their own team works remotely within set, agreed-upon hours, prioritising burnout management and ensuring adequate downtime.

Market Trends in the Legal Sector

Karen McDonald observed that legal professionals are increasingly demanding more streamlined, efficient, and cost-effective solutions. She noted that some major competitors of Wise Owl Legal are adding enhancements that slow their overall systems, leading to client frustration, while clients appreciate the speed of Wise Owl’s operations and reporting. The shift to cloud-based solutions is also highly valued because it eliminates the need for major office-wide workstation installations and external IT involvement for upgrades.

Future of Law and Digitisation

Karen McDonald identified a growing trend among firms that have “sat on the fence” about changing their systems, risking being left behind. She believes that law firms still relying on paper files will really struggle as the industry moves towards faster, digitised processes. Also suggesting that digitising a practice is a natural and necessary aspect of a succession plan, especially for firms still using outdated legacy systems.   

For firms with senior partners struggling to move into the digital space, Wise Owl can import data from Excel templates, enabling other staff to support them efficiently.  

McDonald cited the example of FilePro, a former industry leader, which is closing down in November because its database has not been upgraded, highlighting the risks of failing to modernise.

Product Development and New Features

Karen McDonald updated LPI on recent product developments, highlighting the release of the “MyTime” feature, which is part of the “new world” system that will eventually become a single sign-on model, improving efficiency. Additionally, it was discussed that the 2025 release of Wise Owl’s documents upgrade, which allows users to create custom folders attached to each matter, addresses previous lawyer feedback for more flexible document organisation.

Future plans for 2026 include a significant upgrade to the email platform and document storage, moving documents from embedded database storage to external solutions such as OneDrive, Google Drive, or Dropbox, controlled by the user.

Superiority of Wise Owl’s Accounting Integrations

Karen McDonald asserted that Wise Owl’s integrations with QuickBooks Online and Xero are best-of-breed because Wise Owl Legal is the only product that transfers both invoices and receipts into the accounting platform and uses the native debtors function that is a core part of both QuickBooks Online and Xero. Most competitors use “fudge accounts” for debtors management in Xero, QuickBooks Online, or MYOB and transfer only one side of the sales transaction, forcing clients to choose between cash and accrual accounting and limiting their ability to view both sides of the financials. The ability to see debtors in QuickBooks Online or Xero allows external accountants to assist with collections without needing to learn the practice management system, which is crucial given that many law firms have significant funds tied up in debtors.

AI for Business Management and Automation

McDonald noted that AI is not yet in demand for the “business of law” side, particularly for financial figures, but she believes the best accounting products will be those that master AI and automation. Firms currently favour Xero over QuickBooks because it takes up to 50% less time to execute similar tasks. 

AML Compliance

Regarding Anti-Money Laundering (AML) compliance, Karen noted that the AML requirements for Wise Owl Legal can be met using custom fields generated from spreadsheet imports, without requiring any programming changes.  Wise Owl Legal is already integrated with Infotrack and Dye & Durham, both of which offer AML solutions and search capabilities.
